How to choose a note app

Most note app reviews compare feature lists. Feature lists rarely predict whether you will still be using the app in six months. What predicts it is how the app behaves on a bad day: when you are busy, when the week has collapsed, and when you need to find something you wrote in a hurry.

What matters here

  • Capture speed decides whether the app gets used at all
  • Search quality decides whether notes stay useful
  • Planning features decide whether notes become action
  • Export and portability protect you if you leave
  • Privacy terms decide where your words can end up

Start with capture and search

If getting a thought in is slow, nothing else matters. If finding it again is unreliable, the archive becomes worthless. Test both with your own workflow before reading any further down a feature list.

Then decide how much planning you need

Some people need a place for thoughts and nothing more. Others need dates, reminders and a weekly view. Be honest about which you are, because a planner with too much structure is as abandoned as a notebook with too little.

Then check the exits

Look at export, at whether the app works without a subscription, and at what the privacy terms say about your content. The strongest signal of a healthy product is that you could leave with your data if you wanted to.
