What is a note-taking app?
A note-taking app replaces the notebook and the pile of scraps with one searchable place. The useful question is not how many formats it supports, but whether writing something down takes less effort than remembering it.
What matters here
- Fast capture from phone, browser or desktop
- Search across everything you have written
- Some way to group notes, by folder, tag or link
- Sync so the same note is everywhere
- A way to get your content out again
The three jobs
A note app has to capture, store and retrieve. Most products are good at capture and storage and mediocre at retrieval, which is why people keep notes they never reopen. Search quality and a consistent naming habit fix more of this than any folder scheme.
Folders, tags and links
Folders answer where a note lives, tags answer what it is about, and links answer what it relates to. Any one of them is enough for a few hundred notes. Adding all three early usually produces a system nobody maintains.
Notes versus documents
A note is short and disposable, a document is long and edited. Many apps blur the two, which is fine, as long as you do not start formatting a shopping list like a report.
