What is a productivity system?

A system is what you fall back on when motivation is low. It is not a stack of apps, it is a short loop you repeat: collect, decide, do, review. If the loop is longer than a paragraph, it will not survive a busy Tuesday.

What matters here

  • One place to collect incoming work
  • A repeatable way to choose the next action
  • A review that catches drift
  • Fewer tools than you think
  • Rules simple enough to follow when tired

The loop matters more than the labels

Popular methods differ in vocabulary, not in substance. All of them collect, decide, act and review. Pick the version whose vocabulary you can remember at the end of a hard day.

Why systems collapse

Most systems fail at the boundary: an email arrives, a message arrives, a thought arrives, and none of them reach the collection point. Widening that boundary, not adding features, is the fix.

Keeping it small

Every additional tool is another place to check and another way to lose something. Two tools, one for notes and one for tasks, covers most people. Many use one.
