What is the difference between a calendar and a task manager?

The calendar is a promise about where you will be. The task manager is a promise about what you owe. A week needs both, and the common failure is having only one.

What matters here

  • Calendar items have a time, tasks may not
  • Calendars are shared, task lists often are not
  • Undated work is invisible on a calendar
  • Tasks without times are invisible in a day plan
  • Blocking time connects the two

The calendar's strength

It is authoritative about time. If something is on the calendar, other people can see it and plan around it. That shared truth is why meetings work and why task lists do not replace them.

The task manager's strength

It holds work before it has a time. That lets you see the total load and decide what fits, which is impossible if everything must be scheduled to exist.

The bridge

Block time for the tasks that need it. The task stays in the list as the source of truth and the calendar shows when you intend to do it. When the block moves, only the calendar entry changes.
